Useful tips/misconceptions about group reservations...


1. Since we are purchasing so many tickets, shouldn't we get a cheaper price?
In many cases group rates tend to be a bit more expensive than regular airfares. In fact the larger the group is, the higher the price may become. Why is that? An airline may sell each seat in the plane with a different price, ranging from a very discounted fare to a very expensive one. From the airline's perspective and looking at what brings the most revenue, wouldn't it make more sense to sell out half the plane with a higher rate (when they are able to, especially in the high season), then fill it with a group that paid a much lower price?

 

2. We will shop around and go with the agency that offers us the lowest price.
This isn't a bad idea if you are looking to purchase 1 ticket, however when talking about group reservations shopping around might actually prevent you from getting the best possible airfare. Travel agencies need to get in touch with the airline's group desk. Once the airline quoted a price for the first agency, all the next calls will get a higher and higher price. Why? Prices are based on availability, the first agency might have requested a temporary hold on the seats, so that price is no longer available for the other agency. Basically you are waisting your time shopping around. A very important factor in organizing a group is finding the right agency and travel agent to work with. This will make a huge difference in the price and the service you receive. Try to find one who has good group contracts with the airlines, who is knowledgeable and reliable and work with that one only. Most of the times an experienced travel agent cab not only save you money but also provide you with a hassle-free travel experience from the start till the end.

 

3. We are a group of 12 people and the group quote we received was $50/person more expensive than what we found on your website. Can we make 2 separate reservations of 6 people in each and get the lower rate?
You could do that, but before please consider the following scenarios especially if more then one airline is involved in your reservation. What if schedule changes, flight delays or cancellations occur? There is a big possibility that the airline will not be able to re-protect the entire group on the same flights, maybe not even on the same date, especially if you are booked in different reservations. If you want to make sure you are handled as a group no matter what happens then you need to make a group reservation from the start, even if that means you have to pay a little extra. At the end it will be worth it.
